Job Description:
Completing Personnel Files for New Employees:
Collect necessary documents and information from new hires.
Review and address any missing documents to ensure the personnel files are complete.
Drafting and Sending Inquiry Letters:
Prepare and send inquiries related to education, occupational health, and criminal background checks.
Follow up on results until final confirmation is received.
Preparing and Signing Employee Contracts:
Based on received authorizations, draft employment contracts.
Ensure signatures from employees are obtained and all legal requirements are met.
Monitoring and Recording Monthly Employee Attendance:
Collect monthly attendance data from employees.
Prepare attendance reports to be sent to the finance department for payroll processing.
Responding to Employee Requests:
Handle inquiries and requests related to attendance, discrepancies, leave, business trips, overtime, contracts, and other relevant matters.
Handling Social Security Insurance:
Register new employees in the social security system.
Manage other related tasks regarding insurance.
Providing Reports to Supervisors:
Provide attendance statistics and other employee-related information to superiors.
Submit required documentation from personnel files when needed.
Organizing and Archiving Employee Documents:
Properly organize and archive all employee-related documents to ensure they are easily accessible and well-preserved.
Requirements:
Familiarity with Labor Laws and Social Affairs:
Knowledge of laws regarding workers and employment conditions.
Familiarity with Social Security and Insurance Regulations:
Proficiency in insurance and social security laws and regulations.
Proficiency in Office Software (Word & Excel):
Ability to work with Word and Excel software.
Familiarity with Attendance, Payroll, and HR Software (Hamkaran System, Chargoon):
Experience with software related to attendance, payroll, and human resources management.
Familiarity with Administrative and HR Processes:
Understanding of processes such as recruitment, attendance reporting, leave balances, final settlements, and types of employment contracts.
Knowledge of Filing and Archiving Principles:
Skills in organizing and archiving documents.
