Job Description: Executive Assistant & Office Administrator
Position Overview
We are seeking a proactive, highly organized, and detail-oriented Executive Assistant & Office Administrator to join our dynamic and growing team. Key Responsibilities
Executive Support:
Provide high-level administrative support to senior executives, including calendar management, travel coordination, and meeting preparation.
Handle confidential and sensitive information with discretion and professionalism.
Act as a liaison between executives and internal/external stakeholders, ensuring effective communication and follow-ups.
Prepare reports, presentations, and correspondence as needed.
Manage email correspondence and prioritize tasks to optimize executive time.
Office Administration:
Oversee daily office operations, ensuring a well-organized and efficient work environment.
Maintain office supplies, equipment, and vendor relationships.
Coordinate facility management, including office maintenance, security, and workspace organization.
Assist in onboarding new employees by managing office setup, access, and administrative requirements.
Develop and implement office policies and procedures to enhance productivity and organization.
Event & Meeting Coordination:
Organize and schedule internal and external meetings, including logistics, agendas, and minutes.
Plan company events, team-building activities, and other office engagements.
Coordinate conference room bookings, virtual meeting setups, and catering arrangements.
Project & Process Management:
Support cross-functional projects and initiatives, ensuring deadlines and deliverables are met.
Assist with document management, contract filing, and compliance tracking.
Identify opportunities for process improvements and implement efficient administrative solutions.
Qualifications & Skills:
Experience: 3+ years of experience as an Executive Assistant, Office Manager, or in a similar administrative role.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Organizational Abilities: Strong attention to detail, ability to prioritize tasks, and excellent time management skills.
Communication: Exceptional verbal and written communication skills, with the ability to interact professionally with all levels of an organization.
Problem-Solving: A proactive mindset with the ability to anticipate needs, troubleshoot challenges, and drive solutions.
Confidentiality & Professionalism: Ability to handle sensitive information with discretion and maintain a high level of professionalism.
